Set up your business

Create your account and get your company ready to invoice.

  1. 1Sign up with your email address or continue with Google, then confirm your email.
  2. 2Enter your business name, country and contact details.
  3. 3Choose your default currency, timezone, date format and number format.
  4. 4Say whether you're registered for tax, and add your tax number and first tax rate if you are.
  5. 5Optionally upload your logo, pick an accent colour and add your bank details.
  6. 6Finish setup to open your dashboard. Everything can be changed later in Settings.

Create and send an invoice

Build an invoice, issue it and share it with your customer.

  1. 1Go to Invoices and choose New invoice.
  2. 2Pick a customer, or add a new one without leaving the invoice.
  3. 3Add lines from your products and services or type them in, with quantity, price, discount and tax.
  4. 4Check the totals, then save it as a draft or issue it. Issuing gives it the next invoice number and a secure link.
  5. 5Use Share to email the invoice, send it on WhatsApp or copy the link, or download the PDF.

Tip: Issued invoices can still be edited until they're paid. If one was sent in error, cancel it rather than deleting it.

Record a payment

Keep balances right when money arrives.

  1. 1Open the invoice and choose Record payment.
  2. 2Enter the amount, date, method and an optional reference. Partial amounts are fine.
  3. 3Save. The invoice becomes Partially paid or Paid, and a numbered receipt is created.
  4. 4From the payment, email the receipt or send a thank-you on WhatsApp.

Tip: Recorded a payment by mistake, or did a cheque bounce? Void the payment from its page and the amount returns to the invoice balance.

Send a quotation and convert it

Agree the price first, then bill without retyping.

  1. 1Go to Quotations and choose New quotation. Add lines and set how long it's valid.
  2. 2Issue it and share it by email, WhatsApp or link.
  3. 3Your customer accepts or declines from the link, or you mark their answer yourself.
  4. 4Choose Convert to invoice and create a draft or issue the invoice straight away.

Taxes and currencies

Charge the right tax and bill in your customers' currencies.

  1. 1In Settings, open Taxes and add each rate you charge. Mark a rate as included if your prices already contain it.
  2. 2Choose a default tax for new items and invoices.
  3. 3Set a currency on a customer to use it for their invoices by default, or change it on any invoice.
  4. 4On the dashboard and in reports, switch currency to see each one's exact figures.

Reports and statements

Understand the numbers and share them.

  1. 1Open Reports and choose a report, such as Outstanding receivables or Profit and loss.
  2. 2Filter by date range, currency and, where it applies, customer or status.
  3. 3Use Export for a CSV, an Excel-friendly CSV or a PDF.
  4. 4For one customer, open their Statement tab, pick a period and download or email it.

Email settings and templates

Control how your emails look and where replies go.

  1. 1In Settings, open Email Settings.
  2. 2Set the sender name customers see and the address their replies go to.
  3. 3Edit the subject and message for each email type, using placeholders like the customer name and amount.
  4. 4Check Recent emails to see what was sent and whether any delivery failed.

Getting started

Is Invogital free?

Yes. Invogital is free while it's in early access: every available feature is included and no card is needed. Paid plans will come later for larger teams and higher volumes, and we'll tell you well before anything changes.

What do I need to get started?

An email address or a Google account. Setup asks for your business details, currency and tax registration, and optionally your logo and bank details. It takes a few minutes, and you can change everything later in Settings.

Does it work on my phone?

Yes. Invogital runs in the browser and is designed for phones, tablets and desktops, so you can create an invoice or record a payment wherever you are. There's nothing to install.

Invoices and quotations

How do my customers receive invoices?

Email them from Invogital with the PDF attached and a View invoice button, send a WhatsApp message with a secure link, or download the PDF and send it however you like. The invoice shows when your customer first opens the link.

Can I use my own logo and colours?

Yes. Upload your logo, choose an accent colour and pick the Modern, Minimal or Classic template. Your business details, tax number and bank details are printed on each document automatically.

Can customers accept quotations online?

Yes. The quotation link lets your customer accept or decline, or you can record their answer yourself. An accepted quotation becomes an invoice in one step, with the same lines, prices and tax.

Can I send payment reminders?

Yes. Send a payment reminder or an overdue reminder from any unpaid invoice, using wording you can customise. Reminders go out when you choose to send them; automatic reminders are planned.

Tax and currencies

Which taxes does Invogital support?

The rates you charge, whether that's VAT, GST, sales tax or service tax. Add as many rates as you need, choose a default, and mark whether prices already include tax. Totals are calculated to the currency's smallest unit and checked again by the database, so documents always add up.

Can I invoice in different currencies?

Yes. Each customer and each invoice can use its own currency. Balances, the dashboard and reports keep each currency separate, because Invogital doesn't convert between currencies.

Payments and reports

Can customers pay online through Invogital?

Not yet. Customers pay you the way they do today, by bank transfer, card, cash or cheque, and you record the payment in Invogital. Full and partial payments update the invoice's status and balance, and each payment gets a numbered receipt.

Which reports are included?

Sales summary, revenue, invoices, customer sales, outstanding receivables with aging, overdue invoices, payments, expenses, tax, and profit and loss. Each report can be filtered by date, currency and customer, and exported to CSV or PDF.

Can I track expenses?

Yes. Record expenses with a category, vendor, tax and a photo or PDF of the receipt, so your profit and loss and tax reports reflect what the business spends.

Security and your data

Is my business data secure?

Each business's records are kept apart inside the database itself, so one business can never read another's data, and every page checks your role before showing or changing anything. Invoice links use long random codes you can replace at any time.

What happens if I make a mistake?

Drafts can be edited or deleted freely. Issued invoices are cancelled rather than erased, payments are voided and expenses can be restored, so your financial history stays complete and every change is recorded in the activity log.

Can I get my data out?

Yes. Reports export to CSV, an Excel-friendly CSV and PDF, and every invoice, quotation, receipt and customer statement can be downloaded as a PDF.
